AI Festival 2027 — Sponsorship Terms & Conditions

These terms apply to all sponsorship packages (Start-up, Silver, Gold, Main) for AI Festival 2027, taking place 17–18 February 2027 at XR Labs, Bury St Edmunds, organised by Orbital Global Group Ltd.

Reservation and hold. On expressing interest in a package, Orbital Global Group Ltd will hold your preferred tier for 7 days pending confirmation. If confirmation is not received within this period, the hold may be released and the space offered to another party.
Contract and invoice. On confirmation, Orbital Global Group Ltd will issue a sponsorship contract and invoice. A sponsorship is not secured until the signed contract is returned and payment terms are agreed.
Pricing and VAT. All package prices are quoted exclusive of VAT, which will be added at the prevailing rate. Early Bird and Super Early Bird rates apply only where payment (or signed contract, as agreed) is received before the relevant deadline; standard rates apply thereafter. Published rates are not retroactive to bookings made before a rate change.
Payment terms. Invoices are payable within the terms stated on the invoice. Orbital Global Group Ltd reserves the right to reallocate or withhold a sponsor’s package, stand space, or speaking slot if payment is not received by the agreed date.
Start-up tier. The Start-up package is offered free of charge, by application only, and subject to very limited availability. Orbital Global Group Ltd reserves sole discretion over which applicants are accepted.
Deliverables from sponsor. Sponsors must return their logo, brand assets, and speaker bio (where applicable) within 2 weeks of signing. Late submission may result in reduced inclusion in pre-event marketing, signage, or printed/digital materials, as these are produced to production deadlines.
Speaking and demonstration slots. Keynote and seminar slots are allocated by package tier and are subject to programme scheduling. Orbital Global Group Ltd reserves the right to alter running order, timings, or format due to circumstances beyond its control.
Stand space. Stand sizes and positions are as specified for the sponsor’s tier. Exact stand location within the venue is at the organiser’s discretion, taking into account overall floor plan and access requirements.
Cancellation by sponsor. Sponsorship fees are non-refundable once a signed contract is in place, except at Orbital Global Group Ltd’s discretion or where the event itself is cancelled (see clause 11).
Reallocation. A confirmed package may not be resold, sublicensed, or transferred to another organisation without Orbital Global Group Ltd’s prior written consent.
Event cancellation, postponement, or changes. If AI Festival 2027 is cancelled, Orbital Global Group Ltd will contact sponsors regarding refund or credit options. If the event is postponed or rescheduled, sponsorship benefits will carry over to the new date where possible; refund entitlement in this case is at Orbital Global Group Ltd’s discretion. Orbital Global Group Ltd reserves the right to alter the programme, speakers, or format due to circumstances beyond its control, without obligation to refund fees.
Use of sponsor branding. By confirming sponsorship, you grant Orbital Global Group Ltd permission to use your company name and logo on the AI Festival website, social channels, signage, printed materials, and press releases, consistent with your package benefits, for the purposes of promoting AI Festival 2027.
Use of event media. Sponsor representatives attending the event consent to being filmed and photographed, with images potentially used for promotional purposes, in line with the general event terms.
Liability. Orbital Global Group Ltd and the venue accept no responsibility for loss or damage to sponsor property, equipment, or materials brought to or left at the venue.
Data protection. Any personal or company data provided in connection with sponsorship will be processed by Orbital Global Group Ltd in line with GDPR guidelines, for the purposes of managing the sponsorship relationship and related communications.

AI Festival 2027 — Terms & Conditions of Sale

Tickets are issued subject to the venue’s admission policy. AI Festival 2027 takes place on 17–18 February 2027 at XR Labs, Bury St Edmunds.
Please check your tickets, as mistakes cannot always be rectified.
Occasionally, events are cancelled or postponed by the organisers, speakers or venue for a variety of reasons. If the event is cancelled, please contact us for information on receiving a refund from Orbital Global Group Ltd. If the event was moved or rescheduled, the venue or organisers may set refund limitations. It is your responsibility to ascertain the date and time of any rearranged event.
The venue reserves the right to refuse admission, and all attendees will be subject to security searches to ensure the safety of the patrons.
Every effort to admit latecomers will be made at a suitable break in the event, but admission cannot always be guaranteed.
We regret that tickets cannot be exchanged or refunded after purchase unless the event is cancelled. Tickets are booked through Humanitix; Humanitix’s own booking terms and fees also apply — Humanitix is a charity-linked ticketing platform, and booking fees support their charitable partners.
Tickets are sold subject to the organisers’ or venue’s right to alter or vary the programme (including speakers, tracks, or sessions) due to events or circumstances beyond its control, without being obliged to refund monies or exchange tickets.
If this ticket is re-sold or transferred for profit or commercial gain by anyone other than Orbital Global Group Ltd, Eastern Education Group, or one of their authorised sub-agents, it will become voidable and the holder may be refused entry to or ejected from the venue.
The venue operates a No Smoking Policy.
Orbital Global Group Ltd, Eastern Education Group and the venue accept no responsibility for any personal property.
You must inform Orbital Global Group Ltd a minimum of 14 days before the event if you have any dietary requirements.
Please advise the organisers of any access requirements.
By purchasing a ticket for this event and by entering the premises of the event site you consent to being filmed and photographed and that your image may be used for promotional purposes.
By purchasing a ticket you agree to be contacted by Orbital Global Group Ltd for AI Festival and Orbital Global Group Ltd related promotional messages.
It is your responsibility to ascertain whether an Event has been cancelled or re-scheduled and the date and time of any re-scheduled Event. Where an Event is cancelled or re-scheduled, Orbital Global Group Ltd will use its reasonable endeavours to notify you using the email details you provided at the time of ordering (via Humanitix). It is also your responsibility to keep your contact details up to date with Humanitix.
AI Festival 2027 is planned in line with current government guidance and regulations, and there may be additional safety measures in place at the venue. Conditions may apply in accessing the event, and the organisers reserve the right to refuse entry.

I give permission for Orbital Global Group Ltd to use my photograph and other media such as film, on promotional material, social media, the AI Festival website and publications, for which it may be suitable. If you would like your image removed from circulation, please email aifestival@orbitalglobalgroup.com, and Orbital Global Group Ltd will do so to the best of their ability. This may not be possible in materials that have already been published.
